Big Email Attachments Can be a Big Hassle for IT Administrators
Microsoft is recommending a 10 MB email size limit in Exchange 2003 in order to prevent a certain type of denial of service attack. The days of large email are quickly coming to an end. Yet, businesses often need to exchange files in the context of email.
That's why System Administrators love OutDisk. OutDisk lets administrators offer their demanding Outlook users an easy method for sending large file attachments, while avoiding the problems with big emails. OutDisk doesn't require the user to modify their behavior, or force them to learn complicated FTP software. OutDisk is so easy to use that users can be trained in just minutes.
OutDisk is not an ordinary FTP utility. OutDisk is designed specifically for use with Outlook email.
With OutDisk, multiple users can share a single FTP account without co-mingling their files. Each user can have a unique "Working" directory. When the user sends an email, OutDisk creates a unique sub-folder in the Working directory to hold the file attachments just for that email. This prevents files from being co-mingled, and provides added security as the email recipient can only access the files in the specific directory, and the files can be deleted whenever you want.
Run our PHP script to automatically remove files, because your users won't.
We have developed a PHP script for OutDisk that will automatically delete files after they have been on your server for a certain number of days. The script is provided as-is, but is easily configured, and can be run as a daily chron job or scheduled task.
With OutDisk, large email attachments won't clog up or corrupt the .PST / .OST files. Emails are more likely to arrive in the recipient's inbox, and less likely to be bounced back because mailbox storage limits are exceeded.
OutDisk works with your FTP server (or we can supply one if you need it). This keeps the System Administrator in control of the company's data, allowing you to log server activity for compliance purposes.
We all know, if users can't go through you they will try to go around you. Giving your users OutDisk means they are less likely to use one of the "free" online file transfer services, which could mean losing control of confidential or sensitive company information.
How Does OutDisk Work?
Outlook users just select the files they want to share, compose their email message, and press the Send button. OutDisk handles the rest, inserting an http download link into the email message. It then logging in to the FTP server, creates a unique directory for this email, uploading the file, and if necessary, will resending the files if the transfer is interrupted.
OutDisk creates a separate subdirectory for each email, organizing them beneath the user's FTP account. Separate subdirectories mean that files are never co-mingled between users, nor between emails!
An OutDisk compatible PHP script is available to help System Administrators manage their FTP site. The script can be run as a Cronjob or Scheduled Task to automatically remove directories that are x days old. The script is free for orders of 10 or units of OutDisk.
